Depending on how you contact or use Maths Mentoring, I may collect your name, email address, telephone number, the student’s name, year group or level of study, information about current attainment, confidence, goals or the support being sought, appointment and consultation information, and communications by email, telephone or WhatsApp.
I may also keep basic payment and transaction records, such as the amount paid, date and method of payment, together with information reasonably necessary to manage tuition and maintain appropriate business records.
When you use this website, limited technical information may also be collected, such as IP address, device or browser information and cookie preferences.
Most personal information is provided directly by a student, parent or guardian. Some information may also arise through the website booking system, Square payments or communications relating to tuition.
I use personal information to respond to enquiries, arrange consultations, understand what support may be appropriate, organise and provide tuition, communicate with students and parents or guardians, provide agreed between-session support, manage appointments and payments, provide access to Integral Maths where appropriate, manage expressions of interest in the A/A* online group, maintain business records, and operate and secure the Maths Mentoring website.
The main lawful bases I rely upon are:
Contract — where processing is necessary to respond to a request for tuition, make arrangements before tuition begins, or provide an agreed Maths Mentoring service.
Legitimate interests — where it is reasonably necessary to communicate with students or parents, administer the tutoring relationship, maintain appropriate educational records and operate Maths Mentoring effectively.
Legal obligation — where information must be retained or disclosed for tax, accounting or other legal requirements.
Consent — where consent is required, particularly for optional website cookies or tracking.
The UK GDPR requires organisations to identify an appropriate lawful basis for each purpose for which personal information is used.
Many Maths Mentoring students are under 18.
A parent or guardian will often provide information when making an enquiry, although older students may also contact Maths Mentoring directly.
Information about students is used only where reasonably necessary to understand their educational needs, arrange tuition and provide appropriate support.
Children have their own rights under data protection law, and information about the use of their personal data should be provided in clear and understandable language.
The website enquiry form does not ask for medical information or other particularly sensitive personal information.
Please do not include detailed health, medical or similarly sensitive information in the website form unless it is genuinely necessary.
Occasionally, a parent or student may choose to tell me about information that affects learning or the support required. If sensitive personal information is genuinely needed, it will only be used where necessary and where UK data protection law permits its use.
Most tuition payments are made directly by bank transfer.
Maths Mentoring does not ask customers to provide their bank account or card credentials. I may retain basic records confirming that a payment was received, its amount, date and method, as required for normal business and accounting purposes.
Where online card payments are used, they are processed by Square. Square processes payment information through its own systems and operates under its own privacy and data-processing terms.
I do not sell personal information.
Where necessary to operate Maths Mentoring, information may be processed by service providers including:
Integral Maths is developed by MEI and operates under MEI’s own privacy notice.
WhatsApp also processes information under its own UK privacy policy when that service is used.
Some technology providers used by Maths Mentoring operate internationally and may process information outside the United Kingdom.
Where information is transferred internationally, the relevant provider is expected to use safeguards permitted by UK data protection law.
For example, GoDaddy states that it makes international transfers and uses mechanisms including the UK Extension to the EU-US Data Privacy Framework and UK-compliant contractual safeguards where appropriate. Square likewise describes safeguards for international transfers in its privacy arrangements.
Personal information is kept only for as long as it is reasonably necessary for the reason it was collected.
As a general approach, enquiries that do not lead to tuition will normally be deleted within 12 months of the last contact.
Routine student and tutoring records will normally be kept for up to 24 months after tuition ends, unless there is a reasonable legal, safeguarding or business reason to retain particular information for longer.
Expressions of interest in the A/A* online group will be retained only for as long as the proposed group is being developed or it remains reasonable to contact the person about that specific request.
Financial and accounting records will be retained for the period required by law. Where HMRC’s rules for self-employed business records apply, records generally need to be retained for at least five years after the 31 January submission deadline for the relevant tax year.
The Maths Mentoring website uses cookies necessary for the website to operate.
GoDaddy’s Advanced Tracking is also enabled to provide information about website traffic and performance. This optional tracking is controlled through the website cookie banner.
Visitors can choose Accept or Decline. Optional tracking is enabled only where the visitor chooses to accept it.
Maths Mentoring does not currently use Google Analytics or Meta Pixel.
Under the rules applying to cookies and similar technologies, non-essential tracking generally requires consent through a clear positive action, and visitors should be able to enable or disable it.
Reasonable technical and organisational measures are used to protect personal information against accidental loss, misuse, unauthorised access, alteration or disclosure.
Access to personal information is limited to what is reasonably necessary for Maths Mentoring purposes.
However, no internet or electronic storage system can be guaranteed to be completely secure.
The Maths Mentoring website may contain links to or use services provided by other organisations, including Google, Integral Maths, Square and WhatsApp.
Those organisations are responsible for their own privacy practices when you interact directly with their services.
Depending on the circumstances and the lawful basis being used, you may have rights to access personal information held about you, correct inaccurate information, request deletion in certain circumstances, request restriction of processing, object to certain processing, receive certain information in a portable format, and withdraw consent where processing is based on consent.
You also have the right to object in appropriate circumstances where personal information is processed on the basis of legitimate interests.
The rights that apply can depend on the purpose and lawful basis for the processing.

Maths Mentoring does not use automated decision-making or profiling to decide whether a student will be accepted for tuition or what educational support they should receive.
If you have concerns about how your personal information has been handled, please contact Maths Mentoring first so that I have an opportunity to address the issue.
You also have the right to make a complaint to the Information Commissioner’s Office (ICO), the UK regulator responsible for data protection.
This notice may be updated from time to time, for example if the services used by Maths Mentoring or applicable data protection requirements change.
